The successful candidate will help ensure projects run smoothly by maintaining project documentation, coordinating meetings and communication, tracking deadlines and actions, assisting with reporting, and supporting Project Managers and project teams with day-to-day administration. This role would suit someone who enjoys working in a fast-paced technology environment, is detail-oriented, and is comfortable managing multiple priorities.
Minimum Requirements
- Matric / Grade 12.
- 1–3 years' experience in administration, project administration, project coordination or a similar role.
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Good working knowledge of Microsoft Office, particularly Excel, Word, Outlook and Teams.
- Comfortable working with spreadsheets, documents and project information.
- Ability to manage multiple tasks and deadlines.
- Professional and confident when communicating with colleagues and clients.
- Advantageous
- Diploma, certificate or qualification in Project Management, Business Administration, IT or a related field.
- Previous experience in an IT/software or technology environment.
- Experience with project management tools such as Jira, Monday.com, Asana, Trello, ClickUp or similar.
- Basic understanding of Agile/Scrum project environments.
- Experience working with software development or technology projects.
- Project Management certification would be advantageous.
Key Responsibilities
- Provide day-to-day administrative support to Project Managers and project teams.
- Assist with project planning, scheduling and tracking.
- Maintain accurate project documentation, records and filing systems.
- Schedule project meetings and prepare agendas and supporting documentation.
- Take and distribute meeting minutes and track outstanding action items.
- Maintain project plans, task lists, timelines and status updates.
- Follow up with team members on outstanding tasks and deadlines.
- Assist with preparing project status reports and presentations.
- Maintain project-related spreadsheets and data.
- Assist with timesheets, invoices, purchase orders and general project administration where required.
- Coordinate communication between internal teams, clients and other stakeholders.
- Assist with onboarding new projects and maintaining project information throughout the project lifecycle.
- Identify and escalate potential delays, issues or administrative gaps to the Project Manager.
- Ensure project information is kept up to date and easily accessible.
- Provide general administrative support to the wider project and operations teams.
