A management services company providing operational, administrative, and business support to a group of related companies within the food production and FMCG sector is seeking a practical, organised, and detail-oriented Operations Coordinator to join their team in Tyger Waterfront.
The successful candidate will support day-to-day operational coordination, supplier communication, order processing, documentation control, and workflow tracking to ensure smooth business operations.
Key Responsibilities
Coordinate and manage client purchase orders, order requests, and written instructions.
Verify order details, including product specifications, quantities, pricing references, delivery dates, and special requirements.
Create, update, and monitor operational tasks using Asana to ensure accurate workflow tracking.
Coordinate supplier requirements, including stock availability, purchase orders, pricing, and collection or delivery arrangements.
Prepare, issue, and follow up on supplier purchase orders and related documentation.
Liaise with suppliers, logistics providers, and outsourced production partners to confirm production schedules and delivery timelines.
Monitor supplier deliveries to minimise delays and production interruptions.
Coordinate production progress and communicate operational updates to relevant stakeholders.
Manage delivery documentation, including picking slips, delivery notes, proofs of delivery, and dispatch records.
Ensure signed delivery documentation is received, verified, and submitted for invoicing or filing.
Perform first-level checks on purchase orders, supplier invoices, delivery notes, and supporting documents.
Identify and escalate discrepancies relating to quantities, pricing, missing documentation, shortages, delays, or missing paperwork.
Assist with client enquiries regarding orders, deliveries, documentation, and service issues.
Support complaint resolution by gathering information and assisting with internal feedback.
Maintain organised operational records using SharePoint, Excel, and Asana.
Support general administrative functions, including document control, filing, and data capture.
Work closely with administration and accounts teams to ensure documentation is complete for processing.
Perform additional operational and administrative duties as required by management.
Minimum Requirements
Matric / National Senior Certificate.
Previous experience in operations coordination, logistics, administration, supply chain, FMCG, manufacturing, food production, customer service operations, or a similar coordination role.
Excellent organisational skills with the ability to manage multiple priorities at the same time.
Proficiency in Microsoft Excel, Outlook, and cloud-based filing systems.
Comfortable working with task management software and following structured operational processes.
Ability to identify operational risks and escalate issues proactively.
Professional communication skills when dealing with clients, suppliers, management, and colleagues.
Willingness to work on-site in Tyger Waterfront.
Advantageous Requirements
Qualification in Operations, Logistics, Supply Chain, Business Administration, or a related field.
Experience within the meat, food production, cold chain, FMCG, manufacturing, or outsourced production sectors.
Experience using Asana, Xero, SharePoint, or similar business systems.
Familiarity with purchase orders, delivery notes, supplier invoices, proofs of delivery, and stock documentation.
Experience coordinating suppliers, logistics providers, or third-party production partners.
Exposure to service-level reporting, operational reporting, or complaint handling.
